We're pretty straightforward about how we handle your info. Here's the full story on what we collect, why we need it, and how we keep it safe.

Look, we get it - privacy policies can be a slog. But this stuff actually matters, especially when you're trusting us with your project ideas and personal details. At Luminar Quest Architecture, we've been designing sustainable spaces across Vancouver for years, and we treat your data with the same care we'd give to blueprint revisions.
This policy covers what happens when you reach out through our website, schedule consultations, or work with us on a project. We're based in BC, so we follow Canadian privacy laws (PIPEDA, to be exact), plus we've thrown in our own standards because that's just how we roll.
Bottom line? We only collect what we need, we don't sell your info to anyone, and you've got control over your data. Period.
We're gonna be straight with you about what we gather. Here's the rundown:
When you fill out our contact form or email us directly, we grab the basics - your name, email address, phone number, and whatever you tell us about your project. If you're a business client, we'll also note down company name and your role there.
Property addresses, site dimensions, your design preferences, budget ranges (yeah, we need that), timelines, and any architectural constraints you're dealing with. Sometimes clients share photos of existing spaces or properties - those get stored securely too.
Our website collects standard tech info like your IP address, browser type, device info, and which pages you visit. Nothing creepy - just helps us figure out if the site's working properly and where people are getting stuck.
Emails, phone call notes, meeting summaries - basically, we keep track of our conversations so we don't forget what you told us three weeks ago. Trust me, this saves everyone's sanity on longer projects.
We're not in the business of hoarding data for fun. Everything we collect has a purpose:
Responding to your inquiries, preparing project proposals, scheduling site visits, creating design concepts, managing ongoing projects - you know, the actual architecture work you hired us for.
Keeping you updated on project progress, sending appointment reminders, sharing relevant design inspiration (only if you're into that), and occasionally letting you know about new services that might fit your needs.
Meeting our professional obligations, keeping records for building permit applications, maintaining contract documentation, and covering ourselves (and you) legally speaking.
Making our website better, understanding what services people are looking for, and figuring out how to serve Vancouver's architectural needs more effectively.
We won't use your info for anything that'd make you go "wait, what?" - if there's ever a new use case, we'll ask for your okay first.
Let's be clear: we don't sell your data. Never have, never will. But there are a few situations where we might need to share some info:
Our project management software, email hosting, cloud storage - these tools help us do our job. They get access to whatever data they need to function, but they're all bound by strict confidentiality agreements. We're picky about who we work with.
Structural engineers, sustainability consultants, contractors - when your project needs specialists, we'll share relevant details with them. They're bound by their own professional standards and confidentiality requirements.
If the law says we gotta hand something over (court orders, regulatory requirements, that sort of thing), we will. But we'll let you know first unless we're legally prevented from doing so.
If we ever sold the practice or merged with another firm (not planning on it, but you never know), client data would be part of that transfer. Any new owner would have to follow this same privacy policy though.
Yeah, we use cookies - not the chocolate chip kind, sadly. Here's what's going on:
| Cookie Type | Purpose | Duration |
|---|---|---|
| Essential | Keep the site working properly, remember your session, handle forms | Session only |
| Analytics | See how people use the site, which pages are popular, where folks are coming from | Up to 2 years |
| Functional | Remember your preferences, language settings, that sort of thing | Up to 1 year |
You can block cookies through your browser settings if you want. Fair warning though - the site might not work as smoothly, and you'll have to re-enter preferences every time you visit.
We use Google Analytics (with IP anonymization turned on) to understand site traffic. If you're not into that, grab a browser extension like uBlock Origin or Privacy Badger.
We take security seriously - maybe even more seriously than getting the perfect window placement (and that's saying something). Here's what we've got in place:
Real talk: No system is 100% hack-proof. We do everything we reasonably can to protect your data, but if something sketchy happens, we'll let you know right away and tell you what we're doing about it.
It's your data - you've got rights. Here's what you can do:
Request a copy of what we've got on file about you. We'll send it over within 30 days.
Spot something wrong? Let us know and we'll fix it ASAP.
Want us to delete your info? We'll do it unless we legally have to keep it (like for tax records or completed projects).
Don't want marketing emails? Hit unsubscribe or tell us directly. We won't take it personally.
Take your data with you - we can provide it in a format that works for you.
Think we messed up? You can file a complaint with us or go straight to the Privacy Commissioner of Canada.
To exercise any of these rights, just shoot us an email at info@luminarkquest.info or give us a call. We'll need to verify your identity first (can't just hand out data to anyone claiming to be you), but then we'll get it sorted.
We don't keep stuff forever - that'd be weird. Here's how long we hold onto different types of info:
If you reach out but don't move forward with a project, we'll keep your contact info for about 2 years in case you change your mind. After that, it's gone unless you ask us to keep it longer.
Everything related to your project stays on file for the duration of the work plus 7 years after completion. This is actually a professional requirement - architects need to maintain records in case questions come up down the road about permits, warranties, or design decisions.
Canadian tax law requires us to keep financial documents for 7 years. Can't get around that one, sorry.
Until you tell us to stop or we haven't heard from you in 3 years - whichever comes first.
Once the retention period's up, we securely delete or destroy the information. No keeping things "just because."
Laws change, technology evolves, we might add new services - sometimes we need to update this policy. When we do, here's what'll happen:
We recommend checking back here every now and then, especially if it's been a while. The date at the top will let you know if anything's changed since your last visit.
